Rental Terms
Who pays for fuel, who arranges transport, how many hours is a day — before you ask for a quote.
Three questions come up on almost every rental enquiry: who pays for fuel, who arranges transport, and how many hours is a day? The answers are below — no need to wait for a quote.
What is included, what is not
The table below applies to standard rentals. On long-term and project-based work these items are negotiable; every quote states line by line which party carries which cost.
| Item | Responsibility | Note |
|---|---|---|
| Machine | Matyol | Serviced and delivered in working condition |
| Scheduled maintenance | Matyol | Oil, filters, planned service |
| Breakdown repair | Matyol | Unless caused by misuse |
| Machine insurance | Matyol | Own-damage / machinery breakdown cover |
| Operator | On request | With or without operator — both available |
| Fuel | Customer | Delivered full, expected back full |
| Transport (both ways) | By agreement | Priced by distance, itemised separately |
| Refuelling on site | Customer | Tell us in advance if the site has no refuelling facility |
| Consumables (breaker tools, cutting edges) | Customer | Beyond normal wear |
| Site safety and ground preparation | Customer | Ground, access road, utility survey |
What counts as a day, a week, a month?
This is the most commonly misunderstood point in the industry. Our definition:
- 1 day = [8] hours of machine operating time (breaks and standby not counted)
- 1 week = [6] working days
- 1 month = [26] working days / [200] hours
Hours are read from the machine's own hour meter. Meter readings at delivery and return are recorded in a handover report signed by both parties.
Overtime
Work beyond [8] hours a day counts as overtime and is charged per hour. The overtime rate is stated in the quote — nothing appears on the invoice that was not agreed.
Transport
Heavy plant moves on a lowbed trailer. The cost depends on distance, machine weight and route restrictions (bridges, viaducts, height limits).
- We can arrange transport, or you may move the machine with your own vehicle.
- If you transport it yourself, loading, unloading and damage risk are yours.
- Please confirm in advance that the site access road can take a lowbed. If the vehicle cannot enter, the wasted trip is chargeable.
Operator
On operated rentals the operator is Matyol personnel; wages, social security and vocational certification are our responsibility.
- The operator works [8] hours a day; meals and accommodation are [the customer's / Matyol's] responsibility.
- They follow site rules, HSE instructions and the site supervisor's direction.
- On non-operated rentals, whoever operates the machine must hold a valid operator licence. All liability arising from unlicensed operation rests with the hirer.
Breakdown and downtime
If the machine stops due to a fault that is our responsibility:
- Downtime is deducted from the rental charge.
- We respond within [24] hours; if the fault cannot be cleared, a replacement machine is sent.
- Faults caused by misuse, neglect or site conditions are repaired at the hirer's cost.
Please stop the machine and call us the moment you notice a fault. A fault that is worked through can turn a small repair into an engine overhaul.
Insurance and damage
- Own-damage and machinery breakdown cover is arranged by Matyol.
- The policy excess is stated in the contract; damage below the excess is the hirer's cost.
- Third-party liability rests with [the site owner / the hirer].
- Theft and wilful damage are outside the cover.
Cancellation and early return
- No charge for cancellation before dispatch.
- Once the machine is on the road, the transport cost is charged.
- On early return, the agreed minimum hire period still applies.
Payment
Standard terms are [cash on delivery / 30 days]. Progress-payment terms are possible on long-term work. A [deposit / advance] may be requested on first engagements.
This page is for general guidance and does not replace a contract. The binding terms are those in the signed rental agreement. The version applicable to your hire is sent to you in writing with the quote.
